A short guide for students

Your information belongs to you. This guide explains what Quantum Brain Tutoring Ltd, or QBT, knows about you, why we use it, who may see it, and what you can ask us to do.

1. Who is QBT?
QBT stands for Quantum Brain Tutoring Ltd. We provide tutoring and educational support. For the tutoring covered by this guide, QBT decides why and how your personal information is used.

2. What is personal information?
Personal information is anything that identifies you or tells someone something about you. It can include your name, age, contact details, school year, subjects, work, progress and things you say during tutoring.
Some information is more sensitive. This may include information about your health, disability, SEND, religion, background, wellbeing or something that has happened to you. QBT should use sensitive information only when there is a proper reason and extra legal protection.
3. What QBT may know about you
QBT may use:
- your name, age and contact details;
- your parent’s or guardian’s details;
- the subjects and exams you are studying;
- your availability and Session attendance;
- your learning goals, homework and work you share;
- lesson notes, feedback and progress;
- answers to a personality-style or learning assessment;
- information about adjustments or support you need;
- messages about your tutoring; and
- information about a safety, complaint or safeguarding concern.
QBT should not ask for more information than it reasonably needs. If you are not sure why someone is asking, you can ask them to explain.
4. Why QBT uses your information
We use information to arrange your Sessions, choose and support your Tutor, understand what you are studying, personalise teaching, track progress, make reasonable adjustments, communicate with your parent or guardian, keep accurate records, and help keep people safe.
Your parent or guardian normally has the tutoring contract with QBT. That does not mean that they own your personal information. You still have privacy rights of your own.
5. Personality and learning assessments
QBT may ask you questions about your learning preferences, personality or study habits. The answers can help a human Tutor think about how to explain ideas and support you.
The assessment is not a medical or psychological diagnosis. It should not make an important decision about you automatically. Your Tutor should also listen to you, look at your work and change their approach as your needs change.
You can ask what the assessment says, point out something that is wrong, or ask QBT to explain how it is being used.
6. Who may see your information?
Your assigned Tutor and authorised QBT staff may see information they need to provide safe and useful tutoring. QBT also uses trusted services for things such as email, video calls, secure storage, website forms, payments and IT support.
Information may sometimes be shared with your parent or guardian, an authorised school contact, professional adviser or insurer. It may also be shared with an authority that has a legal right to receive it.
QBT does not sell your personal information.
7. What if someone may be unsafe?
Tutors should listen and treat your information respectfully, but they cannot promise to keep every serious concern secret.
If QBT thinks that you or another person may be at risk, it may need to tell someone who can help. This could be your parent or guardian where appropriate, a school safeguarding lead, children’s services, the police, emergency services or another safeguarding professional.
QBT should share only information that is relevant and should think carefully about safety. Sometimes it may not be safe or appropriate to tell everyone before information is shared.

8. Are tutoring Sessions recorded?
QBT does not normally record tutoring Sessions. If QBT wants to record one, it should explain the reason, what will be captured, who can see it and when it will be deleted.
For a planned recording involving a student under 18, QBT will make appropriate arrangements with the parent or guardian and should also explain it to the Student. Your views matter.
A recording should normally be deleted within the agreed period. QBT’s working default is 30 days, unless there is a proper reason to keep it longer, such as a safeguarding concern, complaint or legal claim.
9. How long does QBT keep information?
Different records are needed for different lengths of time. QBT normally keeps detailed routine lesson notes and assessments for three years after tutoring ends, while core contract and payment records may be kept for six years.
Safeguarding records may need to be kept much longer so that concerns can be understood later. In England, Scotland and Wales, QBT’s working period is normally until the Student is 25; in Northern Ireland it is normally until age 30. A record may be kept longer if an inquiry, claim or legal requirement applies.
QBT should securely delete or anonymise information when it is no longer needed.
10. Your privacy rights
Depending on the situation, you may be able to ask QBT to:
- tell you what information it has about you;
- give you a copy;
- correct something that is wrong;
- delete information that is no longer needed;
- limit how information is used;
- stop certain uses;
- provide some information in a portable form; or
- explain a decision about your information.
These rights have legal rules and exceptions. For example, QBT may need to protect another person’s privacy or keep a safeguarding record. If QBT cannot do what you ask, it should explain why where the law allows.
You may be able to make a request yourself if you understand what it means. You can also ask a parent or another trusted adult to help. QBT will think about your age, understanding, wishes, safety and other people’s privacy before sharing information.
11. Marketing
QBT does not use children’s tutoring information to send them direct marketing. QBT may send your parent or guardian important messages about Sessions, payments, safety or changes because those are service messages rather than adverts.
QBT may send optional marketing to adults only where the law allows. Adults can opt out at any time.
12. How to ask a question or raise a concern

You may use any reasonable way to tell QBT that you think it has handled your information wrongly. QBT will acknowledge a data-protection complaint within 30 days, look into it and keep you updated without unnecessary delay.
